This page explains how your personal information supplied to curious-tales.org.uk will be held and processed by Curious Tales. Curious Tales is the controller for this information.
What personal information we hold about you
If you create an account we will hold your name and email address so that we can identify you.
If you sign up to one of our events we will hold:
- a reference to the payment you made with Stripe (our payment processor)
- emergency contact information
- any medical information you provide to us
- dietary requirements (if you sign up for catering)
- whether you consent to being photographed by our designated photographers
- information about your preferences for attending the event, such as sleeping arrangements
- information about the character you play at Curious Pastimes events
What information we will share with others
If you sign up for catering we will share your dietary requirements with our caterers.
With your consent we will share your name and character information with Curious Pastimes so that they can award experience points and in-game items as appropriate.
In an emergency we will pass on any provided medical information to attending medical staff, and we will contact your emergency contact.
We will share which attendees have consented to photography with our designated photographers.
Photography and video
Only designated photographers will take photographs at our events, and only of participants who have given consent to this when booking. Any participant can contact admin@curious-tales.org.uk with takedown requests for any published photograph of the event that they are in.
It is not permitted to take videos of Curious Tales events.
Payment information
We use Stripe to process payments.
Any payment information you enter is sent to Stripe directly from your browser, and it is not processed by Curious Tales. This information will be processed in accordance with Stripe's privacy policy.
Curious Tales holds a reference to your payment with Stripe so that we can determine if it has succeeded, and if it is later reversed or refunded.
Purpose
The data we collect is used to facilitate your safe attendance at our live action roleplaying events. We need to be able to contact you with information about the event. We need to be able to ensure your medical and dietary needs are met.
Legal basis of data processing
We process your data on the basis of your consent when you sign up for an account and when you book onto an event.
How long we keep your personal data
We will keep your name and email data for up to two years after your last interaction with us.
We will keep character information until this has been processed by Curious Pastimes, which could take until the next Curious Pastimes event.
We will remove emergency contact and medical information after the event you provided it for unless we obtain your consent to keep it for future events. In any case this will be removed when we automatically delete your account data after two years of inactivity.
Your rights
You have the right to request access to the personal data we hold about you, to request correction of any incorrect data, to request deletion of your data, and to object to any aspect of how we process your data. To make such a request please contact admin@curious-tales.org.uk.
Note that because this data is required for your safe attendance at Curious Tales events, if you withdraw your consent to us processing your data then you will not be able to attend our events.
